Terms and Conditions
As the parent, guardian and/or the person with authority and/or responsibility over the enrolled child or children. By enrolling the named child or children, you understand, agree with and consent to the following terms and conditions made with Ladybug Learning. The following terms and conditions, and these terms and conditions alone, will govern your relationship, and the relationship of your enrolled child or children, with Ladybug Learning.
Enrolment Policy
Classes are booked on a first-come, first-served basis and are not transferable to another student. All sessions are held at our premises and will run according to the agreed schedule. Any changes will be communicated to parents or carers via the contact email provided, with a minimum of 2 hours’ notice prior to the session.

Payment of term fees is required in advance of attendance. If your child stops attending without notification, you will remain responsible for the fees, as this holds their place in the class and prevents it from being offered to another family. Ladybug Learning reserves the right to refuse classes to enrolled students if fees are not paid in advance - at least 24 hours prior to the holiday workshop starting and by specified due date prior to term classes starting.

Enrolment fees are subject to change at any point in time. Should this be the case, Ladybug Learning will notify you of any changes and/or variations via email as soon as possible.
Enrolment is secured on a term basis. Once enrolled, your child will remain in that class unless you notify us otherwise. At the end of the current term, your child will be given priority to be enrolled in the same class for the following term. An invoice will be issued, and payment must be made by the specified due date to secure your spot in the class. Failure to make payment by this date may result in forfeiting your place. At the start of each year, re-enrolment and payment online are required to secure your child’s place, as they will progress to the next level and move into a new class aligned with their age and development.

It is your responsibility to ensure that enrolled students attend their scheduled classes or notify us of their absence. Refer to our Cancellation Policy section for further details.

Please note that class teachers may change without notice. While we strive for consistency in teaching staff, this may not always be possible due to illness or other circumstances.

Our holiday workshops are generally capped at 8 children to ensure quality learning and individual attention. However, on certain occasions, attendance may be increased to a maximum of 12 children. In instances where the group exceeds 10 children, there will always be two teachers present to maintain a 1:10 teacher to children ratio. Please note that these decisions are made at the discretion of Ladybug Learning, taking into account the specific needs of each workshop.
Each child is eligible to attend a maximum of 2 trial classes per calendar year. Trial classes are paid sessions and are offered at the discretion of Ladybug Learning, and are available for term classes only. They are subject to the availability of the requested time and class. Trial classes are subject to the same cancellation policy as regular enrolled classes. If your child or children are unable to make a trial class, you must notify Ladybug Learning via email at hello@ladybuglearning.com.au by 9pm the evening prior to your trial class. Refer to our Cancellation Policy section for further details.
Cancellation Policy
Due to high demand for certain classes and time slots, maintaining 100% attendance is crucial. Regular attendance is essential for your child’s progress, as each lesson is carefully planned to support your child’s individual needs.

If your child or children are unable to make a class or workshop, it is your responsibility to notify Ladybug Learning of their intended absence via email at hello@ladybuglearning.com.au by 9pm the evening prior to your enrolled class.​
Failure to do so will result in losing the class spot, with no makeup session offered, and the full class fee will be charged. This ensures fairness and allows other students the opportunity to book into that class.

Cancellations made by 9pm the evening prior will provide you the chance to attend a makeup session. Every effort will be made to book a makeup session for your child.
​
If this makeup session is for a term class, we will try to schedule it within the same week, recognising that lessons are sequential and build on one another. If this makeup session is for a holiday workshop, it must be within the week of the holiday workshops. If this is not possible, full fee for the holiday workshop missed will be charged.

Students are expected to attend sessions until the end of the term. Cancellations before the term concludes will require 10 business days’ written notice to hello@ladybuglearning.com.au for a 50% refund of all remaining sessions.

To maximise the benefits of their lessons, please ensure your child is prepared and ready to start on time, as missed time cannot be made up.

Ladybug Learning will strive to run all scheduled sessions but reserves the right to cancel if necessary. If a session is cancelled due to unforeseen circumstances, you will be notified via phone or email. In such cases, an alternative makeup class will be offered; if not possible, a credit or full refund will be issued.
All materials used at Ladybug Learning are only for personal use for purposes of our classes and workshops and cannot be reproduced or sold without our permission.
Refund Policy
Enrolment fees are non-refundable for non-attendance. No deductions will be made due to absence, as session expenses remain unchanged during a student's temporary absence. All attended classes and/or holiday workshops are non-refundable and not eligible for a make up session if your child or children leave prior to the conclusion of the session, due to sickness and/or any other reason. Enrolment fees are also made on a per-child basis and no pre-paid fees will be transferable to another child.

Enrolment fees are also non-refundable if services cannot be provided due to circumstances beyond our control (e.g. emergencies, enforced evacuations). We will only provide a refund of fees paid if we are unable to continue to provide the services to you, or if we deem (in our absolute discretion) it is reasonable to do so. If a student leaves Ladybug Learning before the term concludes, a written notice to hello@ladybuglearning.com.au must be provided at least 10 business days prior for a 50% refund of all remaining sessions.

In the event of enforced closures (e.g., due to COVID restrictions), we reserve the right to conduct classes online. Online classes will be considered a continuation of your normal class. For any classes that cannot be provided, either in-person or online, credits will be applied to your account. If this occurs during the final term, we will fully refund class fees for any classes not provided.
Student Information Policy
You are responsible for ensuring that the student information provided to Ladybug Learning is accurate and up to date. Please inform us of any changes to student information or your contact details via email on hello@ladybuglearning.com.au.

By enrolling, you acknowledge and accept that Ladybug Learning is authorised to use the information you provide for the following purposes:

Enrolling the named student(s) at Ladybug Learning;

Informing you of any changes to enrolment or session details;

Contacting you for general consent, authority, advice, or information;

Reaching out in case of an emergency or to seek medical instructions;

Providing updates on the progress of enrolled students;

Sharing updates about the operations of Ladybug Learning; and
-
Any other necessary or relevant purposes related to our services.
General Conduct and Expectations Policy
Ladybug Learning is not responsible for any damage to or loss of property brought onto our premises by enrolled students or their families. We advise that students refrain from bringing valuable items to classes. It is your responsibility to ensure that personal belongings are clearly labelled.

You must ensure the health and safety of enrolled students before and after their scheduled classes. Timely drop-off and pick-up are crucial. If you are more than 10 minutes late to pick up your child, a fee of $1 per minute will be charged. If you are more than 30 minutes late and cannot be reached, we are obligated to notify the police.

Please inform us of any medical conditions or illnesses of enrolled students that require specific treatment. For the health and wellbeing of all students and staff at Ladybug Learning, you will be notified and asked to pick up your child if they are requiring medical attention or unwell. In case of an emergency, we will contact emergency services (000). You acknowledge that you are fully responsible for any medical expenses incurred for monitoring or treating enrolled students.

While we aim to provide a safe environment, Ladybug Learning is not liable for any natural disasters, accidents, injuries, or other liabilities incurred by enrolled students beyond what is stipulated by law.
​
If, in the opinion of any staff member, your child displays threatening or dangerous behaviour to another student, themselves or any member of staff, you will be called immediately and your child may be asked to leave the premises of Ladybug Learning.

You agree to release us from any claims or actions brought against Ladybug Learning by enrolled students, family members, or other parties in relation to natural disasters, accidents, or injuries, except as required by law.
​
Nothing in these terms is intended to limit or exclude any guarantees, warranties, representations or conditions implied or imposed by law, including the Australian Consumer Law (or any liability under them) which by law may not be limited or excluded.
​
Subject to the extent permitted by law, all terms, guarantees, representations or conditions which are not expressly stated in these Terms and Conditions are expressly excluded.

Privacy Policy
Your personal information:

Will not be sold to any other party for whatever purpose. Your information will not be accessible to any telemarketing or direct mail agencies.

May be used for internal purposes, such as coordination of teachers and classes/students, or following up on feedback submitted by you.

May be used in the recovery of outstanding payments.

Will be kept absolutely confidential by us and will not be given to any other party except as agreed by you in the course of business terms and conditions, or if formally requested by law enforcement agencies.
